Enrollment Procedures

 

San Carlos School District will be opening the first window of registration for any 

NEW students enrolling for the 2019-2020 school year, starting on November 1, 2018. 

This registration window is for all new incoming Kindergarten, Transitional Kindergarten 

and any student in grades 1st through 8th that will be new to the District (currently enrolled students do not need to complete this process).

 

Registration for all grades will be open for a 4-month period for any NEW incoming students. The registration process is centralized at the District office for all schools except the San Carlos Charter Learning Center (please visit their website for their registration procedures). Please do NOT go to individual schools to register.  

 

CURRENT STUDENTS:  If your child is a current student at one of the schools of the San Carlos School District in either transitional kindergarten, kindergarten or grades 1 to 8, you are not required to re-register during this window; an email with your child’s InfoSnap code and instructions will be sent out towards the end of April 2019 for you to re-register your child.

 

NEW STUDENTS:  Registration for the 2019-20 School Year

 

WHEN:

November 1, 2018 through March 1, 2019

WHO: 

Students born as follows:

  • Transitional Kindergarten: September 2 to December 2, 2014 (No exceptions).
    • To be eligible for transitional kindergarten, the child’s 5th birthday must bebetween September 2 – December 2, 2019.
  • Kindergarten: December 3, 2013 to September 1, 2014 and any child eligible for transitional kindergarten (TK) in 2018-2019 school year with a birthday between September 2 to December 2, 2013.  (Those TK students currently enrolled in SCSD do not need to register for kindergarten as you are already registered. See Current Students section above.)
    • State law requires that to be eligible for kindergartenin September 2019, a child must be five (5) years of age on or before September 1, 2019.
  • Grades 1-8: Will be placed in the grade following the last one they attended, or according to their age if it is their first time attending public school in the United States.

The enrollment process is as follows:

1. Download the New Kindergarten Enrollment Application Form or the New Transitional Kindergarten Enrollment Application Form and the Home Language Survey

  • After forms are completed, please submit them in person to the District Office, located at 1200 Industrial Road, Unit 9, San Carlos, between the hours of 8:30am- 11:30 a.m. and 2:30 – 4:30 p.m. (or by appointment).  
  • IMPORTANT: Be sure to review the required documents.  Bring with you an original copy of all required documents. If you come with a copy and the original, this will expedite the process greatly.  Otherwise we can make copies at the District Office. The following documents are REQUIRED for registration:
 
  • Original Birth Certificate, Passport or Baptismal Certificate
 
  • Current Proof of residency (current property tax or rental agreement) AND two current utility bills from different sources (for example PG&E, Recology, Comcast, California Water Service)
 
 
  • Immunizations (complete list of all current immunizations)
2. The first round of kindergarten and transitional kindergarten registration will close at 4:30 p.m. on March 1, 2019.  All registrations received by March 1, 2019 will be included in the initial school placement for the 2019-2020 school year. 
  • Registration will remain open for San Carlos School District residents after March 1st, and placements are made weekly, thereafter, on a first-come, first-serve process. Please note that due to staff time constraints that you might not be notified immediately of your placement.  Notifications will begin to go out for in-district residents by the end of March 2019.  We appreciate your patience.  
 
3. District will then notify all families as to where their child’s placement will be for the coming school year.  (Decisions to be made as per Board adopted “preferences” procedures).  If you have not heard from the District as to where your child was placed by March 29, 2019 and you registered between November 1, 2018 – March 1, 2019, please call our District Registrar at 650-508-7333.
 
4. End of April 2019, parents will receive additional instructions and access to complete the Online Registration Process using InfoSnap (our online student data entry system).  
 
The CHDP Health Assessment and the Oral Health Assessment must be submitted to the school of assignment after April 2019.  If your child has outstanding immunizations that are not due until their 5th birthday, please provide the most current records when you register and then provide an updated hard copy to the District Office or assigned school or email it to the school nurse by August 9, 2019. Please note that if you do not have up-to-date immunizations before your child’s first day of school, they will not be permitted to come to school.
 

Out-of-District Registrations: We accept out-of-district registrations and can place as long as space permits. Priorities are to place all in-district registrants first. Once our in-district registrations slow down, usually well into the summer, we can then begin to review the out-of-district applicants on a weekly basis.  If we are able to place, we will reach out to you. We recommend that you also register within your own district in the event we cannot place your child(ren) at the start of school. 

Inter/Intra District Transfer Requests:

Intradistrict Transfer Request:  To request a transfer to another school within the same school district. Due to high enrollment, approval of Intradistrict Transfers is limited; all transfer requests must adhere to Board Policies on enrollment priority for neighborhood residents, class size, and consistency of program quality across all schools. Parents requesting mid-year transfers must meet with the student's current school principal to discuss the reasons for the transfer request, and must work with the principal, or the principal's designee, to resolve any issues prior to submitting an Intradistrict Transfer Request.

o  Students who are given approval to transfer will remain enrolled at the new school through the remaining grades at that school and will continue on that new track path as school requested becomes the new “home” school. Multiple transfers will not be considered. If you desire to return to your original “home” school, you must reapply for an intradistrict transfer. Determinations to be made in late spring for following school year.

Interdistrict Transfer Request: To request a transfer from SCSD to another school district or to request to transfer from an outside school district to San Carlos School District (SCSD).

  • Transferring out of SCSD: Students who live within the boundaries of SCSD and would like to attend school in another district must first submit an Interdistrict Transfer to the SCSD Registrar. Transfers must be approved by SCSD before submission to the district desired. Approval to leave the San Carlos School District does not guarantee that the district to which you wish your child to attend will approve the request and allow you to enroll. You will be notified by the District of choice of the final outcome of your request.
  • Transferring into SCSD: If you are looking to register with San Carlos School District, we recommend submitting an application as an out-of-district applicant. See “out-of-district” section above. Due to continued high enrollment, SCSD cannot guarantee acceptance.
